A Site Secretary in Qatar manages daily administrative operations and document control at active construction or engineering project sites. They bridge the gap between field personnel and corporate offices, acting as the central hub for correspondence, project schedules, and compliance records.
Key Responsibilities
- Document Control: Managing and organizing project documents, submittals, transmittals, and drawings.
- Site Communications: Handling incoming and outgoing correspondence via emails, letters, and memos in both English and Arabic.
- Meeting Coordination: Scheduling site meetings, preparing agendas, and recording meeting minutes for distribution.
- Reporting: Assisting Project Managers with daily, weekly, and monthly progress reports and tracking material deliveries.
- Personnel Administration: Monitoring site staff attendance, keeping track of leave requests, and maintaining timesheets.
- Visitor Management: Welcoming visitors, coordinating site access, and directing inquiries to the correct departments.
Essential Requirements
- Education & Experience: Typically requires a College Degree and 2–5 years of administrative experience. Previous experience in the Qatari construction or engineering sector is highly preferred.
- Language Skills: Fluency in English is mandatory. Bilingual abilities (written and spoken Arabic) are a significant asset and frequently required by Qatar-based consultancies.
- Technical Proficiency: Strong command of Microsoft Office (Word, Excel, PowerPoint, Outlook). Familiarity with document control
- Soft Skills: Exceptional organizational, multitasking, and problem-solving abilities in a fast-paced or remote project environment.
