MEP (Documents Controller)

Job Purpose

The MEP Document Controller is responsible for managing, controlling, and maintaining all project documentation related to MEP works. This includes handling drawings, material submittals, RFIs, method statements, and technical documents to ensure proper filing, version control, and compliance with company and project requirements.

Key Responsibilities

1. Document Management

  • Maintain and control all MEP project documents including drawings, material submittals, RFIs, method statements, and technical specifications.
  • Ensure proper filing, registration, and tracking of all incoming and outgoing documents.
  • Apply document control procedures to ensure confidentiality and accessibility.

2. Drawing Control

  • Maintain updated records of approved, revised, and superseded drawings.
  • Ensure only the latest approved drawings are issued and used by site teams.
  • Track drawing statuses and revisions for effective document integrity.

3. Submittal Tracking

  • Maintain logs for material submittals, shop drawings, RFIs, and other technical submissions.
  • Follow up with civil, fit-out teams, and suppliers for timely approvals to prevent project delays.

4. Document Distribution

  • Distribute approved documents to site engineers, project managers, and relevant departments.
  • Maintain document transmittal records for internal and external correspondence.

5. Coordination Support

  • Assist MEP engineers and project managers by organizing documentation required for site inspections, consultant meetings, and coordination sessions.
  • Provide support in compiling reports and document packages as per project needs.

6. Record Keeping

  • Maintain proper records for as-built drawings, operation & maintenance (O&M) manuals, warranties, and project handover documentation.

7. ERP / Document System Management

  • Upload, update, and manage project documents in the company ERP or document control system.
  • Ensure data accuracy and proper categorization within the system.

8. Project Close-Out Documentation

  • Compile and organize all final documentation required for project handover, including O&M manuals, as-builts, and warranties.

9. Compliance

  • Ensure all documentation adheres to company standards, project requirements, and client specifications.

10. Support to MEP Department

  • Provide document management support across multiple MEP projects, ensuring smooth and efficient document flow between site teams, consultants, and management.

Qualifications & Experience

  • Diploma or Bachelor’s Degree in Engineering, Business Administration, or a related field.
  • 3–7 years of experience as a Document Controller, preferably within MEP or construction projects.
  • Proven experience with document control systems (such as Aconex, Procore, or ERP-based systems).
  • Proficient in MS Office (Word, Excel, PowerPoint) and document management software.
  • Strong organizational skills, attention to detail, and ability to handle multiple tasks efficiently.

Key Skills

· Minimum 3 years experience in uae

· Knowledge of MEP construction documentation and approval processes.

· Excellent written and verbal communication skills.

· Ability to maintain document confidentiality and accuracy.

· Strong coordination and follow-up abilities.

· Team player with proactive and structured work habits.
