Job Summary

Executes and provides leadership to teams for operational and strategic planning, including business requirements, project planning, budgeting, growth predictions, and allocation of resources Serves as a liaison between leadership, I/S staff, the end-user and EMR staff focusing on the set up and maintenance, and project management of all assigned applications and services. Responsible for planning, organizing and managing projects, minimizing risks and satisfying compliance and efficiency needs with regards to all assigned applications and services. Hires and evaluates staff and is responsible for the scheduling of on-call duties for assigned team. Assists in planning, creating and managing operational, capital and project budgets for all assigned areas. Ensures short and long-term planning, quality assurance, and overall ITS service delivery for designated applications. May be asked to lead in the development and implementation of key organizational programs.

Essential Functions

  • Coordinates the preparation, installation, deployment and production support of all assigned applications, including workflow analysis and flow charting, design specifications, programming and/or building, testing, training and implementation. Manages the purchase of appropriate hardware/software for new projects - under the direction of the respective IS Project Manager. Develops a timeline for implementation and ensures that all steps are taken to close all outstanding issues regarding implementations. Oversees application testing and support to ensure an enhanced delivery of services, facilitating an efficient and effective delivery of information. Ensures staff have tested thoroughly to ensure new code does not impact previous version and oversees quality integrity for assigned projects and applications. Accepts final responsibility for testing, checking processes and tasks and ensures data integrity for assigned applications. Direct assigned staff assuring all assigned work is handled appropriately and escalates to Director as appropriate.

  • Responsible for recruitment, training, orientation, and assignments for staff. Develops staff with appropriate skills to meet requirements of the IS Department. Meets with staff on a periodic basis (agreed to with direct report) and maintains development plans for all assigned team members. Manages the day-to-day operations of the Ambulatory EMR Systems team providing oversight, guidance and direction of all assigned applications and staff. Direct and oversee technical support (thick client, peripheral hardware, interfacing clinical devices, drivers, application) ensuring efficient and timely issue resolution. Manage data administration of the application. Responsible for accurately recording time and attendance in the payroll system.

  • Oversees workflow assessments for the purpose of monitoring effectiveness of the implementation / upgrade process and ongoing use of new features in assigned applications as well as generally assessing ambulatory EMR department / practice needs. Develops and implements system / practice solutions to given scenarios as brought forward. Ensure documentation is kept current and updated at least annually. Manages relationships with internal Prisma Health customers (departments and management) through customer satisfaction surveys, service level reporting, and customer communication. Provides the customer facing communication mechanism for all of IS for standard operating issues. Direct and oversee application support ensuring efficient and resolution and communication to end users. Follows Prisma Health IS Incident reporting policies and procedures. Report weekly and monthly statistics to Director. Resolve issues within the times set in the service level agreement (SLA). Develop action plans if results are non-compliant with SLAs. Provide timely technology orientation to the Service Center for changes to the applications or on new implementations.

  • Ensures effective relations and collaboration with application vendors and to enable efficient management of assigned applications. Stays current on vendor and competitor offerings, making recommendations for improvements. Participates when-ever possible, in vendor user group forums, or other professional organizations relating to areas of expertise. Makes recommendations for contractual changes and keep current on contractual terms as they relate to the management of assigned applications.

  • Assists in preparing and managing the annual operating budget. Review budget reports monthly and develop action plans if needed. Provides a summary of departmental standing to appropriate leadership team member. Manages application software and hardware lifespan planning.

  • Performs other duties as assigned.

Supervisory/Management Responsibilities

  • Job has direct and/or indirect supervision of team members that may include final budget authority, hire/termination authority, performance appraisal responsibility and disciplinary authority. Job will be considered a member of management staff at Prisma Health or affiliate and will have direct reports.

Minimum Requirements

  • Education - Bachelor's degree in Computer Science, Information Sciences, Business Management, Nursing, Health Informatics or related field of study.

  • Experience - Five (5) years healthcare IT and/or operations experience. Experience in Electronic Health Record systems, or other computer systems, programs, or applications preferred. Experience in medical office setting preferred. Previous work experience as lead EHR/EMR preferred. Lead/supervisory/project management role experience preferred. Managerial experience preferred.

  • In lieu of the education and experience requirements noted above, may consider equivalent combination of work/academic experience.

Required Certifications, Registrations, Licenses

  • Epic Certification preferred

Knowledge, Skills and Abilities

  • Basic computer skills including knowledge of Microsoft Office 360 tools

  • Knowledge of Project Management software concepts and tracking preferred.

  • Epic experience preferred
