An MRD (Medical Records Department) Executive is responsible for managing, organizing, and safeguarding patient medical records to ensure they are accurate, complete, and confidential. Key duties include maintaining both electronic and physical records, assisting with audits, ensuring compliance with hospital policies and legal standards, and coordinating with other departments. Key responsibilities

  • Record management: Maintain and update patient medical records, including organizing, filing, and ensuring completeness with all necessary forms and signatures.
  • Data accuracy and quality: Ensure data integrity and quality through systematic filing, data entry, and following hospital procedures.
  • Confidentiality and compliance: Safeguard patient data and ensure strict adherence to hospital policies, privacy protocols, and legal/accreditation standards like NABH and HIPAA.
  • Retrieval and distribution: Retrieve and deliver medical records to authorized personnel, doctors, nurses, and other departments when requested.
  • Coordination: Act as a point of contact between clinical departments, billing, and administration to resolve record-related queries.
  • Reporting and auditing: Assist in preparing reports for audits, claims, and medico-legal purposes, and support departmental audits.
  • Specialized duties: In some settings, this may include registering births and deaths and issuing birth certificates.

Required skills and qualifications

  • Education: A degree or diploma in Health Information Management or Medical Records Technology is often required.
  • Experience: Experience in a medical records role is preferred, though some positions may be entry-level (0-1 years).
  • Technical skills: Proficiency with hospital workflows, electronic health record (EHR) systems, and basic medical terminology is beneficial.
  • Soft skills: Strong organizational, communication, and attention-to-detail skills are essential.
