The University of Virginia School of Medicine (UVA) seeks an experienced and strategic Program Administrator to serve as the operational leader of its NIH-funded Medical Scientist Training Program (MSTP). The Program Administrator partners closely with MSTP faculty leadership—including two Co-Directors and three Associate Directors—to implement program strategy, ensure compliance, and support trainee success. The UVA MSTP integrates two full degree programs into a single, longitudinal training track spanning 7 to 9 years that integrates medical education and advanced biomedical research training. This role provides the high-level administrative support required to manage this multi-phase training program across educational programs and departments.

Program Scope

The UVA MSTP operates at the intersection of the MD curriculum and ten PhD programs. PhD programs are housed under the umbrella of the Biomedical Sciences (BIMS) and Biomedical Engineering (BME) graduate programs and span multiple departments and disciplines across schools including the School of Medicine, School of Engineering, and College of Arts and Sciences. Trainees transition between pre-clinical medical degree coursework, PhD didactics and qualifying exams, full-time dissertation research, and clinical clerkships and advanced clinical electives. Each phase has distinct academic policies, calendars, evaluation systems and compliance requirements. The Program Administrator will be responsible for coordinating these transitions with proactive oversight to prevent administrative delays, funding interruptions, or conflicts in academic standing in cooperation with the support staff and leadership of both the MD and PhD degree programs.

Key Responsibilities

  • Provide comprehensive operational oversight for the MSTP combined-degree program.
  • Manage MSTP recruitment, admissions coordination, onboarding, and matriculation processes.
  • Coordinate the Individual Development Plan (IDP) process and support trainee development.
  • Coordinate with members of the Graduate Program Office to ensure that data tracking systems to monitor program metrics and performance indicators are adequately maintained.
  • Coordinate curriculum integration and transitions between MD and PhD training environments in collaboration with the SOM Registrar, MD Student Affairs leadership and staff and PhD program leadership and staff.
  • Support the Program Directors in assuring compliance with NIH T32 requirements, accreditation standards, and institutional policies.
  • Support the MSTP director(s) in their efforts to identify and mitigate administrative, compliance, or progression risks while advocating for trainees.
  • Coordinate programmatic events for the MSTP and manage the budget that supports these activities.

Minimum Qualifications

Education

Bachelor’s Degree

Experience

Preference of at least five years of relevant experience or master’s degree with at least two years of relevant experience. At least two years of relevant experience is required.

Starting Salary

The anticipated starting salary for this role will be commensurate with individual candidate education and experience.

Physical Demands

This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs.
