General Overview of Position

Kenosha Municipal Court Office is seeking a seasonal Clerical Intern. Under the general direction of the Municipal Judge and Chief Clerk, this position provides general office support to the Municipal Court Office. Duties include a variety of administrative and clerical tasks. This position requires a high-level of public contact requiring professional communication skills, superior customer service, confidentiality, independent judgment, initiative, decision-making with the ability to prioritize, and multi-tasking skills.

This recruitment is open to all qualified individuals and may establish an eligibility list which will be used to fill the current vacancies and may be used to fill any other such openings in this classification which occur within the next 12 months. This position is non-represented.

Example of Duties & Responsibilities

  • Greets customers and visitors at the counter, provides information and direction, receipts payments, sets up payment plans, accepts and files documents received from parties and answers phone calls.
  • Balances the daily cash drawer and processes the department’s daily deposits.
  • Prepares files for court hearings, records outcomes of hearings and issues subsequent notices to all parties, transmits information to relevant third parties, and returns files upon completion.
  • Receives and responds to open records requests.
  • Processes incoming mail.
  • Assists with filing citations and paperwork.
  • Attends various court hearings and trials when needed.
  • Performs any other work related duties assigned by the Municipal Court Judge or the Chief Clerk for the betterment of the court.

Requirements

Training & Experience:
  • Must possess a high school diploma or GED.

Knowledge, Skills and Abilities:
  • Knowledge of business English and arithmetic.
  • Knowledge of modern office terminology, methods, practices and procedures.
  • Skill in the operation of office equipment.
  • Ability to multi-task in a fast paced environment.
  • Ability to maintain accurate court records and minutes.
  • Ability to understand and follow complex oral and written instructions.
  • Ability to establish and maintain effective working relationships with fellow employees, judges, attorneys, and the general public.
  • Ability to communicate information tactfully and impartially while also utilizing mature judgment and confidentiality.
  • Ability to make arithmetic calculations with speed and accuracy.
  • Ability to interpret and apply established policies and procedures.
  • Ability to develop, install and communicate clerical procedures from general instructions.
  • Ability to handle reasonably necessary stress.

Physical Requirements:
  • Task involves some physical effort, i.e. some standing and walking, or frequent light lifting (5-10 lbs); or minimal dexterity in the use of fingers, limbs, or body in the operation of office equipment.
  • Task may involve extended periods of time at a keyboard.

Environmental Requirements:
  • Task is regularly performed without exposure to adverse environmental conditions.

Sensory Requirements:
  • Task requires sound perception and discrimination.
  • Task requires visual perception and discrimination.
  • Task requires oral communications ability.

Method of Selection

Selection of qualified applicants will be based upon a rating of their education, training and experience. Written, oral and/or proficiency exams may be required to establish eligibility. Appointment to the position will be in accordance with the City Policy and Civil Service Rules and Regulations. The City of Kenosha reserves the right to further evaluate only those applicants who best meet the needs of the City of Kenosha.
