The City's Municipal Court Clerk is responsible for clerical work involving municipal court records and procedures. This includes public assistance over the phone and at the counter, collecting payments, record keeping, and processing cases. The Municipal Court Administrator provides direct supervision, however, the employee works with latitude for independent decision-making within guidelines of policies and procedures. The position entails frequent internal and external contacts that require considerable public relations skill in handling. Interaction is direct with customers, the general public, other departments of the City and other governmental agencies. The Court Clerk is a Career Development position that includes a I, II, and III level to allow for continual advancement.
Position Responsibilities
Public Assistance. Answers multi-line telephone and provides counter assistance. Responds to inquiries, provides information or directs to appropriate division, department or employee.
Accounting. Accurately calculates fines, collects payments, and issues receipts for payments. Balances cash drawer daily. Posts and releases bonds to appropriate cases.
Record Keeping/ Case Processing. Ensures that all cases are accurate and complete. Distributes copies of journal entries to appropriate agencies when necessary. Prepares 30 day letters and DL suspensions when appropriate. Scans documents and related materials in case management system. Closes out files at end of probation/diversion period, and completes associated computer work. Participates in zoom court dockets, occasionally hosting.
Technical Operations. Retrieves information from the case management system and the criminal justice information system.
Information Release. Provides authorized court record information to the public, prosecutor, public defender, law enforcement agencies, probation officers, military recruiters, etc. Keeps accurate records of dissemination.
Coordination with Public Agencies. Coordinates court procedures with outside agencies such as the Adult Detention Center, alcohol/drug programs, and various law enforcement agencies. Serves as a liaison between Johnson County Adult Detention Center personnel and municipal court for video arraignment. Distributes list of prisoners to be arraigned to court personnel and appropriate law enforcement agencies.
Case Filing. Enters cases and imports e-citations from e-ticketing vendor into case management system. Obtains driving and/or criminal history for appropriate cases.
Correspondence. Prepares and mails correspondence to defendants and victims. Sorts and routes mail and correspondence to proper person or location.
Minimum Qualifications
Minimum Qualifications for a Municipal Court Clerk I:
The hiring range for a Municipal Court Clerk I begins at $19.75 per hour (DOQ).
Minimum Qualifications for a Municipal Court Clerk II:
The hiring range for a Municipal Court Clerk II begins at $22.00 per hour (DOQ).
Minimum Qualifications for a Municipal Court Clerk III:
The hiring range for a Municipal Court Clerk III begins at $24.00 per hour (DOQ).
Any combination of education and experience that provides the knowledge, skills and abilities to successfully perform the responsibilities included in this job posting may also be considered.
Work Schedule
This is a non-exempt position that generally works regular office hours, Monday through Friday, 8:00 a.m. to 5:00 p.m. After one year of employment, an alternate schedule of four 10 hour days working 7:00 a.m. to 6:00 p.m. is available.
