Position Summary
The NEMT Dispatcher/Scheduler is responsible for coordinating and dispatching daily transportation services for clients requiring non-emergency medical transportation. This role ensures drivers, vehicles, and routes are efficiently scheduled to meet client needs while maintaining compliance with company standards, state regulations, and customer satisfaction goals.
Key Responsibilities
- Assign and schedule transportation requests to drivers based on availability, location, and trip requirements.• Monitor real-time trip progress, ensuring on-time pickups and drop-offs.• Adjust schedules promptly for same-day cancellations, delays, or emergencies.• Use dispatching software (such as TripSpark, Dispatch.City, or similar) to manage trips.• Maintain clear, professional communication with drivers, clients, and healthcare facilities.• Respond promptly to calls, messages, and emails related to trip changes or client needs.• Provide drivers with accurate trip details, addresses, and special client instructions.• Verify trip logs, mileage, and completed manifests for accuracy and billing.• Maintain records in accordance with HIPAA and company confidentiality policies.• Ensure compliance with all transportation and safety regulations.• Handle customer inquiries, complaints, and feedback in a courteous and efficient manner.• Coordinate closely with facilities, care coordinators, and case managers to confirm transport needs.• Assist with driver check-ins, route optimization, and operational problem-solving.• Participate in team meetings and contribute to continuous process improvements.
Qualifications
- High school diploma or GED required; associate degree preferred.• Previous dispatching or scheduling experience (NEMT, logistics, or medical transport preferred).• Proficiency with dispatch software, GPS systems, and Microsoft Office.• Excellent verbal, written, and organizational skills.• Strong attention to detail, time management, and multitasking abilities.• Knowledge of Indiana transportation and Medicaid guidelines preferred.• Ability to work in a fast-paced, team-oriented environment.
Work Schedule
Flexible shifts may include weekdays, weekends, and evenings based on operational needs.
Compensation
Competitive hourly rate or salary (based on experience). Potential for bonuses and overtime.
Physical & Other Requirements
Must be able to sit for extended periods and operate a computer and phone system. Must pass background and drug screening per company policy.
