Nuclear Executive Assistant - Minneapolis, MN

Position Summary

Provide administrative support to the Chief Nuclear Officer and other executives of the nuclear fleet. Coordinate, monitor, and manage the schedule/calendar of the CNO and other members of the nuclear leadership team. Organize and schedule time and travel for CNO and other leaders. Prepare reports, presentations and other communications from CNO office. Schedule and arrange meetings including coordinating logistics, meals and refreshments. Handle correspondence to and from CNO office including that of a highly confidential nature. Serve as liaison in person, by phone and/or e-mail to CNO for other Xcel Energy executives, direct reports, employees, vendors and other entities such as INPO, NRC and other government officials and federal regulatory agencies.

Essential Responsibilities

  • Organizes CNO's time through coordination and management of the CNO and other nuclear leaders calendars and schedules. Schedule and organize time and travel for CNO and other nuclear executives. Proactively address scheduling conflicts while maintaining schedules and keeping executives apprised of changes to ensure schedule is maintained. Provide documents and other information so CNO is prepared for meetings and appointments. Relieve CNO of administrative duties and details and anticipate the needs of the CNO.
  • Serve as liaison in person, by phone and/or e-mail to CNO for other Xcel Energy executives, direct reports, employees, vendors, and other entities such as INPO, NRC and other government officials and federal regulatory agencies while screening and prioritizing contacts and calls to maintain schedule. Take action during CNO absence from office and use judgment and initiative to ensure matters are referred to the delegated authority or others with the ability to handle the situation.
  • Make travel arrangements for CNO and other nuclear fleet executives. Prepare itinerary, logistics, agenda and other supporting documentation as needed. Reconcile travel expenses and prepare expense reports in line with corporate travel and other company policies.
  • Support and coordinate meetings. Coordinate logistics for meetings including coordination and organization of meeting space, meals and refreshments, taking and distributing meeting minutes, preparing agendas, presentations, handouts, A/V equipment, and teleconference and web conference set up.
  • Responsible for daily office operations including, coordinating mail, answering, screening, delegating and handling incoming calls. Copying, faxing, scanning, filing, distributions and mailings.
  • This position may be asked to perform other duties as assigned including but not limited to timekeeping and/or other support activities.


Minimum Requirements

  • High School diploma or GED.
  • Five or more years of administrative experience required.
  • Previous experience providing support for an executive is desired.
  • Nuclear experience is also desired.
  • Must have the ability to recognize and interpret nuclear acronyms and nomenclature.
  • Must have exceptional customer service skills.
  • Must be highly proficient in MS Office including, Outlook, Word, Power Point, SharePoint, Visio and Excel.
  • Experience with Passport and other nuclear specific software is desired. Must be able to maintain highly confidential information.
  • Must have exceptional organizational skills with attention to detail and strong oral and written communication skills.

Preferred Requirements

  • Associate's degree or Administrative Assistant Certification (CAA).
  • Workday, SAP, SharePoint, Concur knowledge.
  • Strong skills with calendaring and managing schedules.
  • Works well with others and is a strong team player.
  • Ability to independently manage workload.
  • Microsoft Suite proficiency.
  • Travel Arrangement experience.
  • Scheduling Events and Leadership meeting.

Non-Bargaining

The anticipated starting base pay for this position is: $58,700.00 to $79,766.66 per year
