About the Role:
We are seeking a motivated and detail-oriented office assistant to join our team. This is a fantastic opportunity for individuals looking to quickly elevate to a leadership position in the dynamic and fast pace legal industry.
Responsibilities:
This role includes the following responsibilities:
- Managing business and personal needs of the managing partner promptly and with great attention to detail, make life easier in all aspects for the managing partner;
- Manage long and short term rental properties of the firm to increase operational efficiency;
- Manage the Human Resources department and lead the talent recruitment; assume a leadership role from day 1 that will require the candidate to play a critical role in the overall management of the law firm, such as hiring talent, ensuring all administrative tasks are completed, build the infrastructure of the firm, supervise all operations to ensure that the firm is operating smoothly, innovate and critically analyze the performance of the firm and propose improvements on a regular basis;
- Convey instructions from the managing partner to the administrative team, supervise their progress, prompt them to complete their tasks, ensure that all tasks are timely completed;
- Routinely use Microsoft Office 360 on a regular basis. Proficiency in Microsoft Office 360, e.g., Word processing, is a must;
- Manage scheduling and calendar coordination for attorneys, including meetings, deadlines, etc.;
- Prepare, review, and organize legal documents, correspondence, and client files;
- Communicate with clients and follow up on projects, deadlines, and documentation requests;
- Assist with on-boarding of interns and new employees;
- Conduct screening interviews with potential applicants;
- Attend daily meetings and track project deliverables and overall tasks;
- Manage the day-to-day tasks of the firm in general;
- Supervise staff and vendors to ensure that they are handling all incoming phone calls to the firm; and
- Supervise staff to ensure that they are handling new client intakes.
Qualifications:
- Bilingual in English and Mandarin Chinese proficiency is preferred, including the ability to read and write using Mandarin Chinese. This is a MUST. True proficiency in both languages is absolutely required;
- Master’s degree, preferred;
- Prior work experience in a law firm or legal office setting is a preferred;
- Strong organizational skills and the ability to multitask in a fast-paced environment;
- Experience with Clio Manage, Clio Grow, and Monday.com is preferred; and
- Proficiency in Microsoft Office 360 (Word, Excel, Outlook) and document management systems is required.
