O’Conner Senior Center-Receptionist/Program Assistant (Part-Time)

This is a key position of the O’Connor Senior Center team and represents the O‘Connor Senior Center to the public daily through personal and telephone contact. This position responds to requests for information or assistance and is also responsible for recording all record-keeping data as specified under contract with the East Tennessee Area Agency on Aging and Disability (ETAAAD). An individual in this position provides administrative and clerical support to the Center. This position receives supervision from and reports to the Center Manager.

Job Title: O’Conner Senior Center-Receptionist/Program Assistant (Part-Time)

Summary: An employee in this classification receives general supervision from the Chief Financial Officer. An employee in this position assists in the comprehensive fiscal management of designated departments to include grants management, fund allocations, reporting, fixed assets, and other administrative functions.

Essential Duties and Responsibilities:

  • Greets participants as they enter and depart the Center and ensures that all participants are registered. Provides assistance and directs them to appropriate staff members as necessary.
  • Answers the telephone, provides routine information, and directs calls to appropriate staff members, taking accurate messages for absent staff. Has primary responsibility for ensuring that the receptionist desk is fully staffed at all times.
  • Maintains visitor and participant logs.
  • Follows ETAAAD guidelines in performing SAMS data entry using a customized software program, entering data gained from participants. Runs reports as needed.
  • Maintains resource materials for referral services.
  • Provide accurate and reliable information, making referrals as appropriate, and follow up as required.
  • Sorts and distribute mail messages.
  • Prepare correspondence and other documents as requested.
  • Provides general clerical support, including filing.
  • Maintains a clean and neat work area.
  • Maintains an activity book with up-to-date program information.
  • Registers participants for various classes, receives class fee payments, and issues receipts for any monies received.
  • Operates the copy and fax machine as needed, making copies for staff and participants, prints copy reports, and assures that paper and copier supplies are sufficient for Center needs.
  • Assists with mail-outs and telephoning as needed.
  • Provides tours of the Center and an overview of the Center’s programs, as needed.
  • Performs other duties as needed.

QUALIFICATIONS:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

  • Excellent organizational skills.
  • Proficient in Microsoft Excel and Word.
  • Ability to address inquiries in a professional manner, using sound judgment in answering questions and referring visitors to appropriate staff members.
  • Ability to research and problem-solve independently, with the professional judgment to know when to escalate issues or seek expertise.
  • Ability to work independently, managing time and duties efficiently and with a team.
  • Ability to handle detailed work with accuracy, keep records up to date, and prepare accurate reports.
  • Ability to work well with supervisors, co-workers, and the public.
  • Ability to handle multiple tasks and to work well with diverse people.
  • Ability to lift and carry up to twenty-five pounds.
  • Ability to communicate effectively in both oral and in written form.
  • Ability to carry out instructions furnished in written, oral, or diagram form.
  • Knowledge of modern office practices, procedures, and equipment.
  • Ability to project a positive image to participants daily and to demonstrate patience in dealing with the public.
  • Ability to communicate effectively with a diverse senior population.
  • Ability to manage time and to work under pressure.
  • Ability to answer a multi-line telephone system.
  • Ability to operate a computer and to use required software.
  • Ability to enter data accurately with attention to detail.
  • Ability to lift up to 30 pounds.

Education and Experience: Must be a high school graduate or possess a GED. Must have experience in dealing with the public and using a multi-line telephone system. Preferred experience working with older adults. Must possess computer/data entry skills.

Necessary Qualifications: Must have a pleasant personality. Must possess a valid Tennessee driver’s license and have a reliable personal vehicle for daily use (mileage reimbursed). Must be flexible, dependable, punctual, and have a good attendance record.
