Harmoni is a fast-growing manufacturing technology company helping factories modernize with connected hardware, real-time data, and AI-driven insights. We’re looking for a highly organized, detail-driven Office / Accounting Coordinator to keep our day-to-day operations running smoothly and support key financial workflows.


This is a 100% in-person role at our Akron facility. You’ll be the backbone of daily activity—coordinating shipments, supporting light production scheduling, managing administrative workflows, and maintaining accurate accounting records—while ensuring strong segregation of duties is upheld.


What You’ll Do


Operations & Logistics

• Coordinate shipments to and from customers, including courier scheduling and shipping documentation.

• Maintain accurate inventory records; monitor stock levels and reorder supplies based on min/max thresholds.

• Track devices and hardware assets moving in and out of the facility.

• Support day-to-day production scheduling, coordinate assembly staff, and monitor throughput.

• Oversee our answering service and ensure inbound calls/messages are routed appropriately.

• Maintain office supplies, shipping materials, and general administrative needs.


Cash & Receivables

• Collect physical mail, record all incoming checks in a payments log, and complete timely deposits.

• Monitor accounts receivable aging and coordinate follow-up on unpaid invoices with leadership.

• Maintain accurate, up-to-date customer info in QuickBooks Online, including device subscription counts used for automated invoicing.

Note: Payment application in QBO is handled by leadership or our fractional CFO to preserve segregation of duties.


Payables & Expenses

• Enter vendor invoices into QuickBooks Online for review and approval by leadership.

• Collect and code receipts for all company credit-card transactions before posting to QBO.

• Track employee reimbursements and ensure proper documentation is collected.


Payroll & Timekeeping

• Enter hourly employee timesheets into Rippling for payroll processing.


Cross-Functional & Administrative Support

• Maintain well-organized filing systems for financial and operational records (both digital and physical).

• Assist with vendor onboarding, communications with external accountants, and other ad-hoc administrative projects.
