Office Admin & Bookkeeping

An Office Admin & Bookkeeping professional manages daily office operations for a homeowner association management company while handling foundational bookkeeping tasks like data entry, accounts payable, bank deposits, and payment posting.

They perform daily office functions from opening mail, sorting and filing records, file organization; photocopying/scanning, bulk mailing preparation; printing and mailing account statements and communicating with vendors and clients regarding account activity.

Key Responsibilities

  • Administrative Support: Handle general office tasks, including answering phones, managing emails, opening mail, copying/scanning documents, ordering supplies, bulk mailing preparation, and maintaining filing systems.
  • Data Entry & Reporting: Maintain accurate, up-to-date financial records, enter invoices/deposits/payments in QuickBooks, print account statements and financial reports.
  • Vendor Relations: Coordinate with vendors regarding certificates of insurance, tax ID reporting, and account payment history.
  • Customer Service: Communicate with client members, answer phone calls, print account statements and respond to emails timely.
  • Compliance: Ensure all invoice requests comply with company policies and regulations.

Required Skills and Qualifications

  • Software Proficiency: Experience with QuickBooks accounting software and MS Office Suite (especially Word & Excel).
  • Accounting Knowledge: Foundational understanding of accounting procedures is preferred, but training is available.
  • Organization: Strong attention to detail, time management, and ability to handle multiple tasks.
  • Communication: Strong written and verbal communication skills for vendor and client interaction.
  • Experience: Previous experience in an office administrative or bookkeeping role is preferred.

Typical Qualifications
An associate degree in accounting or business administration is often preferred, though equivalent experience is commonly accepted.

Pay: $22.00 - $25.00 per hour
