Responsibilities

  • Maintain organized filing systems
  • Perform data entry, proofread documents, and handle correspondence with precision
  • Manage calendar scheduling, appointments, and meetings for staff members and executives
  • Assist with bookkeeping tasks using QuickBooks and support basic office management functions
  • Support customer service efforts by providing timely assistance and resolving inquiries efficiently
  • Coordinate office supplies inventory, place orders as needed, and oversee general office maintenance
  • Handle incoming emails, messages, and customer support requests with professionalism
  • Support clerical tasks such as copying, scanning, filing, and document preparation

Qualifications

  • Proven experience in an office setting with strong clerical skills and organizational abilities
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
  • Familiarity with QuickBooks for bookkeeping or basic financial record keeping is preferred
  • Excellent phone etiquette
  • Strong typing skills with attention to detail for data entry and proofreading tasks
  • Previous experience as a receptionist, medical or dental receptionist, or personal assistant is advantageous
  • Demonstrated ability to prioritize tasks efficiently using effective time management strategies
  • Knowledge of office management practices including filing systems, calendar management, and office supply coordination
  • Ability to adapt quickly to changing priorities while maintaining a positive attitude
