Office Administrative Assistant

Duties

  • Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette
  • Operate multi-line phone systems efficiently, handling inquiries and routing calls accurately
  • Perform data entry and maintain organized filing systems
  • Assist with bookkeeping tasks using QuickBooks, including invoicing and expense tracking
  • Support calendar management and scheduling
  • Provide customer support by addressing inquiries promptly and professionally, both in person and via phone or email
  • Conduct proofreading of documents to ensure accuracy and clarity before distribution
  • Handle clerical duties such as copying, scanning, faxing, and mailing correspondence
  • Support office management activities to improve workflow efficiency and maintain a welcoming environment
  • Assist with personal assistant responsibilities as needed

Experience

  • Proven experience in office administration or clerical roles within a professional setting
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
  • Familiarity with QuickBooks or similar bookkeeping software is preferred
  • Excellent organizational skills with the ability to prioritize tasks effectively
  • Previous experience working at a front desk or as a receptionist
  • Demonstrated customer service skills with a professional demeanor and strong phone etiquette
  • Ability to handle multiple responsibilities simultaneously while maintaining attention to detail
  • Experience with data entry, proofreading, filing systems, and calendar management is essential
