Office Administrative Assistant

Administrative Coordinator — AG1 Cleaning Services

Location: In-Person (On-Site)
Schedule: Monday–Friday, 9 AM – 3 PM (1-hour unpaid lunch)
Hours: 25 hours/week
Pay: $15/hour
Language Requirement: Bilingual — English & Spanish required

AG1 Cleaning Services is a growing commercial cleaning company dedicated to delivering exceptional results for our clients. We're building a strong, reliable team and looking for a motivated Administrative Coordinator to help keep our operations running at full speed.

About the Role

We're looking for a sharp, organized, and people-savvy Administrative Coordinator to be the operational backbone of our office. In this role, you'll handle general administrative duties, support our sales pipeline through lead generation using our CRM, and help us attract and onboard great talent. This is an in-person, part-time position — perfect for someone who thrives in a dynamic, fast-paced environment.

What You'll Do

General Administration

  • Answer and route incoming calls, emails, and client inquiries professionally and promptly
  • Maintain organized filing systems (digital and physical) including contracts, invoices, and employee records
  • Manage calendars, schedule appointments, and coordinate meetings for leadership
  • Prepare reports, correspondence, and internal documents as needed

Lead Generation (GoHighLevel CRM)

  • Input, manage, and update commercial leads within the GoHighLevel (GHL) CRM platform
  • Follow up with prospects via phone and email, using GHL automations and pipelines
  • Research and identify potential commercial clients (office buildings, facilities, property managers)
  • Track lead status, conversion rates, and pipeline activity; report to management weekly
  • Assist with outreach campaigns and coordinate follow-up sequences with the sales team

Hiring & Recruiting

  • Post job openings on platforms such as Indeed and Facebook; manage applicant flow
  • Screen resumes and applications; conduct initial phone screenings with candidates
  • Schedule and coordinate interviews between candidates and hiring managers
  • Assist with onboarding logistics
  • Maintain an organized applicant tracking process and candidate database

What We're Looking For

  • High school diploma or equivalent required; business degree a plus
  • 1+ year of administrative, office, or customer service experience
  • Comfortable with CRM platforms; GoHighLevel (GHL) experience is a bonus
  • Proficient in Microsoft Office
  • Strong written and verbal communication skills
  • Detail-oriented with excellent organizational habits
  • Self-starter who can manage multiple priorities at once
  • Professional, reliable, and punctual

Bilingual (English & Spanish) is required — written and spoken. Bilingüe (inglés y español) requerido.

Schedule & Compensation

  • Pay: $15.00 per hour
  • Hours: 25 hours/week (Monday–Friday, 9 AM–3 PM with 1-hour unpaid lunch)
  • Work setting: In-person, on-site
