Office Administrative Assistant

Job Overview
R&F Insulation Group LLC is a commercial and industrial insulation company. We are seeking a detail-oriented and organized Office Assistant to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by providing administrative support and managing various clerical tasks. This position requires a proactive individual who can multitask effectively while maintaining a high level of professionalism. We are looking to hire an individual who is looking to grow in the construction industry

Duties

  • Manage phone systems, including answering calls, directing inquiries, and taking messages as needed.
  • Assist with calendar management, scheduling appointments, and coordinating meetings.
  • Perform clerical duties such as filing, data entry, and maintaining organized records.
  • Provide administrative support to team members, ensuring all tasks are completed efficiently.
  • Utilize QuickBooks for basic accounting tasks and financial record keeping.
  • Support office management activities to maintain a productive work environment.
  • Construction Documents ( AIA , Blue Print Drawings , Contracts , Spec, Review Of Addendums, Change Orders , Quotes And Estimates )
  • File and Organizing (Completed Project , Company Paperwork, Company Vehicle Records )

Skills

  • Strong clerical skills with attention to detail and accuracy in all tasks.
  • Proficient in phone systems and communication tools.
  • Bilingual abilities are a plus, enhancing communication with diverse clients and colleagues.
  • Excellent proofreading skills to ensure high-quality documentation.
  • Effective calendar management skills to prioritize appointments and meetings efficiently.
  • Familiarity with QuickBooks or similar accounting software is advantageous.
  • Exceptional time management skills to handle multiple responsibilities effectively.
  • Strong administrative skills with the ability to support various office functions.
  • Experience in office management or personal assistant roles is preferred.

Qualification

  • High School Diploma or Higher Education
  • 2 Years Degree (Preferred)
  • Office Experience ( Preferred)
  • Bilingual (Spanish is A Plus !!)
  • 2 Year of Experience In Office Administration/ Assistant

Requirements

  • Must Be 18+ years of age
  • Pass a Drug Test
  • Eligible to work in the US
