Office Administrative Assistant

Overview
We are seeking a dynamic and highly organized Office Manager to lead the daily operations of our office environment. This role is vital in ensuring a smooth, efficient, and welcoming workspace that supports our team’s productivity and growth. You will be the backbone of our office, overseeing everything from administrative tasks to vendor relations, event planning, and team supervision. Responsibilities

  • Manage day-to-day office operations, including administrative support, clerical tasks, and front desk duties such as greeting visitors and answering multi-line phone systems with professionalism and courtesy.
  • Oversee scheduling management for meetings, appointments, and company events to ensure optimal time utilization across teams.
  • Supervise office staff and coordinate training & development initiatives to enhance team performance and morale.
  • Handle vendor management by negotiating contracts, processing invoices through QuickBooks or similar accounting software, and maintaining strong supplier relationships.
  • Organize company events, meetings, and team-building activities that promote engagement and collaboration within the organization.
  • Maintain accurate filing systems, manage calendars, and ensure all office supplies are stocked and properly managed.
  • Support human resources functions including onboarding new employees, managing payroll processes, and assisting with employee records.
  • Oversee budgeting activities related to office expenses while ensuring cost-effective solutions for operational needs.
  • Implement efficient bookkeeping practices to track expenses, reimbursements, and financial records accurately.
  • Ensure compliance with office policies, maintain a safe environment, and uphold excellent phone etiquette at all times.

Qualifications

  • Proven experience in office management or administrative roles with supervisory responsibilities.
  • Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
  • Excellent communication skills—both verbal and written—to liaise confidently with staff, vendors, and clients.
  • Proficiency in QuickBooks or similar financial management software; experience with bookkeeping is preferred.
  • Demonstrated ability in event planning, calendar management, and vendor negotiations.
  • Knowledge of human resources procedures including payroll processing and employee onboarding.
  • Experience managing multi-line phone systems, front desk operations, filing systems, and general clerical duties.
  • Familiarity with medical office management or healthcare-related environments is a plus but not required.
  • Ability to supervise teams effectively while fostering a positive workplace culture.
