Office Administrator - To Start Immediately (Dubai HQ)
Scarlett Poppies is a fast-growing ready-to-wear and resort wear brand. Founded by Linda Augustsson who is the Creative Director, produced in India with mindful production and crafted with Artisans. The brand is sold globally with our head office in Dubai. We are looking for a reliable and organized Office Administrator to keep our office running smoothly and support the team with day-to-day operations.
This role is perfect for someone who is dynamic, thrives in a fast-paced environment and enjoys thinking outside the box where no two days look the same. You will act as the organizational backbone of the company, ensuring structure, efficiency, and flawless execution across multiple areas of the business.
Key responsibilities:
Executive & Office Support

Manage daily office operations and act as the first point of contact for internal coordination

Provide executive assistant support to the CEO and Management team as needed

Assist the Founder with ad hoc projects and personal administration when required

Keep the office pristine at all times and ensure it reflects the brand’s premium aesthetic

Greet and host customers, guests, and partners visiting the showroom with warmth and professionalism
Travel, Operations & Compliance

Coordinate complex travel arrangements and itineraries for executives and the sales team

Draft, maintain, and enforce company SOPs and internal processes

Ensure compliance with DMCC rules and regulations; provide management with guidance on best practices

Monitor and maintain office systems, external IT department and digital tools as

Manage office supplies, vendor contracts, and facility operations
Finance & Reporting

Assist in managing expense tracking, office petty cash and reporting
-
Support the finance team with expense reconciliations claims
-
Prepare reports, presentations, and internal communications for management
People & Culture (HR Support)

Support HR tasks including recruitment, onboarding, employee records, and internal communications

Ensure compliance with company policies and labor regulations in HR and admin practices

Capture and follow up on action points from management and team meetings

Contribute to building a strong company culture through team activities and wellness initiatives
Brand & Creative Support

Assist in coordinating company events, trade shows, and team off-sites

Support the E-Commerce team in customer communication, ensuring all queries are handled efficiently and solutions are provided

Assist during photoshoots, coordinating logistics and ensuring smooth execution

Liaise with external partners, suppliers, and service providers to ensure brand standards are met
Problem-Solving & Discretion

Act as the go-to problem solver for day-to-day challenges — no task too big or too small

Handle confidential matters with absolute discretion and professionalism
About You

2–4 years of proven experience in office administration, executive assistance, or operations.

Exceptionally organized with strong attention to detail

Able to think two steps ahead and anticipate needs

Excellent written and verbal communication skills

Confident working closely with senior leadership and cross-functional teams
