Office Administrator

We are seeking a highly organized, detail-orientated, and proactive Office Administrator to support the financial and operational aspects of our remodeling projects. This role combines bookkeeping, administrative oversight, and process improvement to ensure that our construction and remodeling projects run efficiently, on time, and on budget.

The ideal candidate will be comfortable managing finances, developing systems, and maintaining accurate records, while also streamlining day-to-day operations and improving internal workflows.

Key Responsibilities

- Bookkeeping & Financial Management

  • Maintain accurate and up-to-date financial records using QuickBooks
  • Manage accounts payable and receivable, including paying bills and issuing invoices.
  • Allocate payroll and expenses to the correct projects or cost centers.
  • Track and categorize project expenses to monitor budgets and cost performance.
  • Reconcile bank accounts, credit cards, and vendor statements.
  • Prepare reports on cash flow, budget vs actuals, and the financial health of each project.

- Payroll & Compliance

  • Process payroll accurately and on time, ensuring proper classification of employees and contractors.
  • Handle payroll taxes, workers' compensation and other compliance-related filings.
  • Track labor hours per project for cost allocation and performance analysis.

- Operational Systems & Process Improvement

  • Create and manage spreadsheets to support job costing, scheduling and inventory tracking
  • Develop and implement systems and policies to streamline operations and improve project workflows.
  • Collaborate with team members to identify operational bottlenecks and implement solutions.
  • Maintain digital records and improve documentation standards across departments.

- Project Support & Coordination

  • Support project managers with financial reporting, budgeting, and purchasing.
  • Help manage vendor and subcontractor relationships, including contracts and payments.
  • Monitor change orders, scope adjustments, and ensure timely updates to budget projections.

Qualifications:

  • Proven experience in bookkeeping, accounting, or financial administration (preferably in construction or remodeling)
  • Strong proficiency in Excel (formulas, pivot tables, budget templates)
  • Experience with accounting software such as QuickBooks
  • Exceptional attention to detail and strong organizational skills
  • Ability to design and implement efficient systems and processes
  • Excellent communication and problem-solving skills
  • Ability to prioritize and manage multiple projects and deadlines.

Job Type: Part-time

Pay: $20.00 - $25.00 per hour

Expected hours: 15 – 25 per week
