Overall Purpose of The Job

To proactively manage the daily operations of the office. To coordinate diligently a variety of administrative tasks, ensuring smooth and efficient office functioning.


Key Responsibilities and Tasks

  • Creating purchase orders for products and services.
  • Managing annual membership fees with the Marine Chamber of Commerce and Istanbul Chamber of Commerce, ensuring they are added to the payment list.
  • Filing company documents and obtaining them from relevant legal institutions when necessary.
  • Organizing visa applications for administrators’ foreign travel.
  • Arranging accommodations for visitors to the Turkey office.
  • Procuring daily office supplies and business needs.
  • Soliciting offers and conducting price comparisons for office procurement.
  • Coordinating office services such as heating, ventilation, and safety.
  • Handling daily courier and cargo arrangements.
  • Organizing office repairs and renovations.
  • Arranging technical support with the IT department as needed.
  • Coordinating seafarers’ office visits and assisting with application documents.
  • Supporting seafarers taking the Marlins exam.
  • Managing office phone calls and transferring to the appropriate contact person when necessary.
  • Welcoming new applicants for the recruitment department.
  • Contacting building management for office-related needs and issues.
  • Providing tea and coffee service for guests.
  • Ordering lunch for guests and visitors.

Essential

  • University diploma or equivalent; Associate’s or Bachelor’s degree preferred.
  • Minimum of 2 years of experience in office administration or a related field.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in MS Office Suite (Word, Excel, Outlook).
  • Ability to work independently and as part of a team.
  • Attention to detail and problem-solving skills.
