We’re currently seeking a professional, detail-oriented, and proactive Office Administrator to serve as a vital support hub for our dealership operations. This role blends administrative expertise, customer interaction, and operational coordination, making it ideal for someone who thrives in a fast-paced, purpose-driven environment.

What You’ll Do

As our Office Administrator, you’ll be a key contributor to both our customer experience and internal operations. Your responsibilities will include:

Administrative & Front Office Support

  • Answer and direct incoming calls with professionalism and efficiency

  • Greet and assist customers, visitors, and vendors

  • Provide general office and clerical support, including filing, mailing, copying, and document management

  • Create, edit, and prepare correspondence, reports, meeting minutes, and internal materials using Microsoft Office

  • Maintain confidential company information with accuracy and discretion

Financial & Operational Responsibilities

  • Perform Accounts Receivable (A/R) duties in accordance with company procedures

  • Process billing for customers and third parties

  • Receive, post, and deposit payments from customers and mail

  • Prepare titles, delivery documentation, and other legal paperwork

  • Maintain and manage the Van Rental Program

Scheduling & Coordination

  • Schedule service appointments, project installations, and vehicle pickups/deliveries

  • Coordinate and schedule drivers as needed

  • Complete follow-up calls related to appointments, billing, and A/R

  • Assist the Store Manager with dealership management functions when required

Team & Project Support

  • Support leadership and team members with assigned project-based work

  • Order and maintain office supplies

  • Collaborate across departments to ensure smooth daily operations

Qualifications

  • High school diploma required

  • Minimum of 2+ years of related administrative experience

  • Associate’s degree or higher in a business-related field preferred

  • Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook

  • Demonstrated ability to meet deadlines and manage multiple tasks

  • Experience working collaboratively in a team environment

Work Environment & Physical Requirements

  • Primarily indoor office environment with occasional exposure to outdoor elements

  • Ability to sit, stand, walk, and lift up to 25 pounds occasionally

  • Ability to maintain focus amid frequent interruptions and time pressures
