Position Summary
The Office Coordinator is responsible for supporting daily administrative operations to ensure the office runs efficiently and smoothly. This role serves as a central point of coordination for office activities, communication, scheduling, and administrative support. The ideal candidate is organized, detail-oriented, and able to manage multiple priorities in a fast-paced environment.
Key Responsibilities
- Coordinate and support daily office operations and administrative functions
- Serve as the first point of contact for visitors, customers, and phone inquiries
- Manage incoming calls, emails, and correspondence, directing inquiries to the appropriate staff
- Maintain office supplies inventory and place orders when necessary
- Assist with scheduling meetings, appointments, and travel arrangements
- Prepare reports, spreadsheets, and other documents as needed
- Support billing, invoicing, and basic accounting tasks when required
- Maintain organized filing systems for physical and digital documents
- Coordinate internal communications and assist with company announcements or updates
- Support HR and management with onboarding paperwork, employee records, and administrative tasks
- Assist with coordinating company events, meetings, and training sessions
- Ensure the office environment is organized, safe, and professional
Qualifications
- High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred
- 2+ years of administrative, office support, or coordination experience
- Strong organizational and time management skills
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Ability to multitask and prioritize work effectively
- Strong attention to detail and problem-solving skills
- Ability to work independently and collaboratively with a team
Preferred Qualifications
- Experience in transportation, logistics, construction, or industrial environments
Work Environment
- Office setting with occasional interaction with operations staff, drivers, and shop personnel
- Standard business hours with occasional flexibility based on operational needs
Pay: $18.00 - $19.00 per hour
