Duties
- Manage daily office operations, including front desk responsibilities and multi-line phone systems to ensure seamless communication.
- Oversee schedule management for staff appointments, meetings, and events, ensuring calendars are up-to-date and conflicts are minimized.
- Coordinate vendor management activities—review contracts, place orders, and maintain positive relationships with suppliers.
- Assist with human resources functions such as onboarding new employees, maintaining personnel records, and supporting training & development initiatives.
- Handle bookkeeping and bookkeeping-related tasks using QuickBooks or similar accounting software to manage invoices, expenses, and payroll processing.
- Support office management tasks including filing, document organization, and maintaining a tidy work environment.
- Plan and execute company or team events to foster engagement and team spirit.
Skills
- Proven experience in office administration or office management roles with strong clerical skills.
- Excellent communication skills—both verbal and written—with professional phone etiquette.
- Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment.
- Supervising experience is preferred for overseeing administrative staff or interns.
- Proficiency in QuickBooks for financial record-keeping and budgeting purposes.
- Experience in event planning and vendor management to coordinate meetings, conferences, or company events smoothly.
- Knowledge of human resources processes including payroll administration and employee onboarding.
- Familiarity with medical office management is a plus for healthcare-related organizations.
- Ability to handle multiple responsibilities such as calendar management, filing systems, front desk duties, and multi-line phone systems effectively.
