<Responsibilities>
- Greet visitors and manage front desk duties with professionalism and warmth, ensuring excellent customer service and phone etiquette.
- Operate multi-line phone systems efficiently, directing calls accurately and taking detailed messages when necessary.
- Maintain organized filing systems, handle data entry tasks, and ensure all records are up-to-date using digital tools such as Google Workspace and Microsoft Office.
- Manage calendar appointments, schedule meetings, and coordinate office events to optimize time management for staff and leadership.
- Oversee office supplies inventory, place orders as needed, and ensure the office environment remains tidy and functional.
- Assist with bookkeeping tasks using QuickBooks or similar software to support basic financial recordkeeping.
- Provide clerical support including proofreading documents, preparing reports, and supporting other administrative duties as required.
<Skills>
- Proven experience in office management or administrative roles with strong organizational skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
- Excellent computer literacy with the ability to learn new software quickly.
- Strong typing skills coupled with attention to detail for proofreading and data entry tasks.
- Effective communication skills with professional phone etiquette; bilingual abilities are a plus.
- Experience handling multi-line phone systems and front desk responsibilities in a fast-paced environment.
- Knowledge of clerical procedures such as filing, document preparation, and calendar management.
- Customer service orientation with a friendly demeanor and ability to support diverse client needs.
- Previous experience in medical or dental receptionist roles is advantageous but not required; personal assistant experience is also valued.
