Overview
We are seeking a dynamic and highly organized and detail-oriented Office Administrator to join our team and ensure the smooth operation of our office environment. This vital role involves managing administrative workflows, managing systems and processes, being responsible for organization and follow through, and preventing problems through structure, scheduling, tracking and documentation, overseeing operational accuracy, vendor coordination and ordering, administrative support and reporting. The ideal candidate will be proactive, extremely organized and detail-oriented, and possess excellent communication skills, with the ability to juggle multiple responsibilities efficiently. Duties
- SOP organization and updates
- Manage multi-method communication systems, answer inquiries, and route calls and messages with professionalism and courtesy
- Maintain organized systems, including digital records using Google Workspace and Microsoft Office tools
- Perform data entry, proofread documents, and handle correspondence with accuracy and attention to detail
- Coordinate calendar management, schedule appointments, schedule optimization, and assist with meeting preparations
- Oversee supplies inventory, place orders as needed, and ensure the office remains well-stocked and inventory tracked
- Support bookkeeping tasks using QuickBooks or similar accounting software for basic financial recordkeeping
- Assist with clerical duties such as photocopying, scanning, and maintaining organized records for easy retrieval

- Ensuring rooms/forms/supplies are prepared
- Monitoring review requisitions and follow-up systems.
- Qualifications
- Proven experience in office management or administrative support roles; prior office or clerical experience required
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
- Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently
- Exceptional phone etiquette skills with experience handling multi-method communication systems and customer support calls
- Familiarity with QuickBooks or bookkeeping software is advantageous for financial tasks
