Responsibilities

  • Manage front desk operations, greeting visitors and directing them appropriately with friendly professionalism
  • Handle multi-line phone systems, answering inquiries promptly and routing calls efficiently
  • Maintain accurate data entry, filing systems, and document proofreading to ensure information integrity
  • Utilize software tools such as Microsoft Office, Google Workspace, and QuickBooks for administrative tasks and record keeping
  • Support calendar management and scheduling for team meetings, appointments, and events
  • Provide exceptional customer service by addressing client questions, supporting customer support initiatives, and maintaining positive interactions
  • Perform clerical duties including typing correspondence, organizing files, and managing office supplies to keep the workspace organized and functional

Qualifications

  • Proven office experience with strong computer literacy in Microsoft Office Suite, Google Workspace, and QuickBooks
  • Excellent organizational skills with the ability to prioritize tasks effectively in a busy environment
  • Strong phone etiquette skills with experience managing multi-line phone systems and providing customer support
  • Bilingual abilities are highly preferred to serve diverse clients and team members effectively
  • Previous experience as a receptionist or personal assistant is advantageous; familiarity with medical or dental receptionist duties is a plus
  • Demonstrated clerical experience including data entry, filing, proofreading, and calendar management
  • Exceptional time management skills with the ability to handle multiple responsibilities simultaneously
