Job Summary
We are seeking a dynamic and highly organized Office Administrator to join our team! Duties:
- Answer multi-line phone systems promptly, directing calls accurately and courteously
- Maintain organized filing systems, both physical and digital, including data entry and document proofreading
- Schedule appointments, coordinate calendars, and manage meeting logistics using Google Workspace and Microsoft Office tools
- Oversee office supplies inventory, place orders as needed, and ensure the office remains well-stocked and efficient
- Provide customer support by addressing inquiries via phone or email with excellent phone etiquette and patience
- Assist with bookkeeping tasks using QuickBooks or similar accounting software to track expenses and invoices
- Support office management tasks such as organizing files, managing correspondence, and handling clerical duties efficiently\
- Schedule with Building departments for scheduling inspections
- Communicate inspections times and filed technician arrival times
- Close out projects in the CRM and with customers
- Bill/ send invoices out for all closed projects
- Work closely with Accounting for tracking and collecting payments
Skills
- Proven experience in office management or administrative roles with strong organizational skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
- Excellent communication skills in both English and bilingual capabilities (if applicable)
- Strong computer literacy with the ability to adapt quickly to new software tools
- Exceptional time management skills to prioritize tasks effectively in a fast-paced environment
- Experience working in the solar industry is a plus
- Demonstrated ability to handle multiple responsibilities such as data entry, filing, proofreading, and calendar management with accuracy
- Knowledge of multi-line phone systems, phone etiquette, and customer service best practices
