Position Summary

We are seeking a highly organized, motivated, and detail-oriented Office Assistant Administrator to join our team. This position plays a critical role in supporting daily business operations, project administration, payroll processing, billing, collections, and communication with contractors, vendors, and clients.

The ideal candidate is bilingual (English/Spanish), professional, dependable, and able to manage multiple priorities in a fast-paced environment.

Responsibilities

  • Manage daily office operations and administrative tasks.
  • Prepare and issue weekly payroll and subcontractor payments.
  • Coordinate check preparation, deposits, and banking activities.
  • Follow up on outstanding invoices and collections from contractors and clients.
  • Assist with billing, invoicing, and accounts receivable.
  • Maintain and organize company records, files, and documentation.
  • Answer and direct phone calls professionally.
  • Respond to emails and communicate with customers, vendors, and contractors.
  • Prepare reports, spreadsheets, and project documentation.
  • Assist with insurance payments, company expenses, and vendor accounts.
  • Order office supplies, food, and other company necessities.
  • Manage inventory and track materials, equipment, and office supplies.
  • Support project managers with administrative needs and deadlines.
  • Coordinate meetings and maintain company calendars.
  • Ensure tasks are completed accurately and within deadlines.

Qualifications

  • Bilingual in English and Spanish (Required).
