Position Overview:
Emirates International Lubricants Industries is seeking a highly organized, multi-skilled Office Administrator (All-Rounder) to manage a variety of tasks across administration, HR, logistics, reception, and customs coordination. The ideal candidate must be well-versed day-to-day office operations.
Key Responsibilities: Administrative & Secretarial Support:
- Provide comprehensive secretarial support to the Managing Director.
- Organize and maintain company documents, contracts, and correspondence.
- Handle incoming and outgoing communications on behalf of management.
- Manage day-to-day office operations, supplies, and facility coordination.
Reception & Communication:
- Serve as the first point of contact for visitors and incoming calls.
- Maintain a professional and welcoming front desk.
- Coordinate internal communications and document flow between departments.
Human Resources & Administrative Support:
- Assist in recruitment activities: CV screening, interview scheduling, and onboarding.
- Maintain employee records and prepare HR documentation such as offer letters and NOCs.
- Coordinate leave and attendance tracking, and assist with payroll inputs.
- Renew and manage company insurance policies:
- Medical insurance
- Vehicle insurance
- Liaise with insurance providers and ensure timely renewal and claim handling.
Logistics & Customs Coordination:
- Prepare Commercial Invoices and Packing Lists as per Dubai Customs requirements.
- Use Dubai Trade Portal to:
- Create user tokens
- Renew company subscription
- Renew Customs Client Code annually by submitting required documents (trade license, Ejari, Emirates ID, etc.).
- Coordinate with freight forwarders, customs agents, and transporters for shipment clearance.
- Maintain accurate records of all import/export documentation and customs declarations.
Government Payments & Invoice Management:
- Manage and track utility and government payments, ensuring all bills are paid before the due date, including:
- Sewerage
- FEWA/DEWA (Electricity & Water)
- Internet and telephone
- Trade license and other authority fees
- Verify the accuracy of all invoices before processing payments.
- Maintain detailed payment records and follow up on pending approvals.
- Use government portals to process payments and monitor billing cycles.
Requirements:
- 3–5 years of experience in a similar multi-functional role in the UAE.
- Strong knowledge of:
- Dubai Trade Portal
- Customs Code & Token Management
- Government payment procedures
- Logistics & office administration
- Excellent communication and organizational skills.
- Fluent in English; Arabic is an advantage.
- Proficient in MS Office (Word, Excel, Outlook).
