Office Administrator / Dispatcher – Pool Service Company

Job Summary
We are seeking a dynamic and organized Office Administrator / Dispatcher to join our vibrant pool service company. In this role, you will be the central hub of our office operations, ensuring smooth communication, scheduling, and customer support. Your energetic approach will help coordinate daily activities, manage administrative tasks, and dispatch service technicians efficiently. Duties

  • Manage incoming calls, texts, and emails providing friendly and professional customer support while directing inquiries appropriately
  • Schedule pool service, repairs, and estimates
  • Dispatch and communicate with technicians throughout the day
  • Send invoices and process payments
  • Follow up on estimates and unpaid invoices
  • Handle customer questions and concerns professionally
  • Maintain accurate customer records and work orders
  • Organize office systems, paperwork, and daily administrative tasks. Manage calendar appointments, and assist with personal assistant duties to optimize daily workflow
  • Help improve office organization and operational efficiency
  • Assist with general office administration and coordination
  • Handle front desk responsibilities including greeting visitors, managing mail, and maintaining a welcoming office environment

Requirements

  • Strong communication and customer service skills
  • Highly organized and detail-oriented
  • Comfortable using computers and learning software systems
  • Ability to multitask and stay calm under pressure
  • Reliable and professional
  • Previous office/admin experience preferred
  • Service industry experience is a plus
  • Previous experience in customer service or support roles within an office setting is desirable
  • Strong organizational skills

Schedule

  • Full-time
  • Monday–Friday
  • Some flexibility may be available

Pay: $20.00 - $25.00 per hour
