The Office Administrator / HR Support is responsible for providing comprehensive administrative and operational support to the Human Resources department while ensuring the efficient day-to-day management of office administrative functions. This role requires a highly organized, detail-oriented, and professional individual capable of handling confidential information, coordinating administrative processes, and delivering exceptional internal support. The position plays a key role in maintaining smooth office operations, supporting employee lifecycle activities, and ensuring compliance with company policies and administrative procedures.
Key Responsibilities
- Provide comprehensive administrative support to the Human Resources department, ensuring the efficient execution of daily HR and office administrative functions.
- Serve as the first point of contact for visitors, clients, and employees by managing front office operations, including reception, telephone calls, emails, courier services, and official correspondence in a professional manner.
- Maintain accurate, confidential, and up-to-date employee records, and prepare employment-related documentation.
- Support the end-to-end employee lifecycle by coordinating recruitment activities, interview scheduling, onboarding, induction, and offboarding processes.
- Maintain organized filing systems, document control procedures, and HR records while preparing routine reports and ensuring the accuracy and integrity of administrative documentation.
- Coordinate general office administration by managing office supplies, procurement requests, facility-related requirements, meeting arrangements, travel bookings, accommodation, and other administrative logistics to ensure the smooth operation of the office.
- Ensure compliance with company policies, administrative procedures, and confidentiality requirements while performing additional HR and administrative responsibilities as assigned by management.
Qualifications
- Bachelor's degree or Diploma in Human Resources, Business Administration, Office Administration, or a related discipline.
- 2–4 years of relevant experience in office administration and HR support, preferably within the UAE.
- Working knowledge of UAE Labour Law and HR administration processes is an advantage.
- Proficiency in Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint.
- Experience with HRMS or ERP systems is preferred.
- Excellent verbal and written communication skills in English.
- Strong organizational, multitasking, and time management abilities.
- Ability to maintain confidentiality and handle sensitive information with professionalism and discretion.
