Office Administrator (Part-Time)

Caissa Wealth Strategies serves affluent clients in their wealth management needs. We focus on financial planning, starting with the tax return, which drives our detailed investment management strategies. Our best client is the one who allows us to get into every detail of their financial future, integrate that detail and plan multiple steps ahead. Our Torpedo Proofing and Tranches of Income processes set CAISSA apart from other advisors, providing our clients the structure to make it through retirement in any market environment (check them out on our website!). Clients hire CAISSA to remove their financial anxieties by taking on the role of their personal CFO. Our firm is growing and we are looking to welcome a part-time Office Administrator to the team.


Responsibilities

Key Responsibilities and Essential Functions:

  • Oversee front desk operations by creating a welcoming, professional experience for all visitors and handling incoming calls
  • Manage the day-to-day office operations: Proactively purchasing and managing inventory of office supplies and equipment (including supplies for our internal kitchen), ensuring nothing runs out unexpectedly
  • Facilities management: Coordinate with property management to oversee maintenance and repair of office equipment and facilities
  • Coordinate, schedule and set up conference room for CAISSA office meetings and events
  • Manages meal coordination for CAISSA office events
  • Handle mail, shipping, and other ad-hoc tasks as needed — stepping in wherever support is required
  • Administers internal support for office technology including updates for computers and passwords, file maintenance, Zoom, Microsoft Teams
  • Supports client service and operational tasks as directed by staff
  • Client meeting scheduling and calendar management through Calendly
  • Assist with new hires- help setting up office space and employee onboarding
  • Newsletter posting through Constant Contact


What we are looking for:

The Office Administrator has the following knowledge and skill sets:

  • Education: Bachelor’s degree preferred or 2-4 years of professional work experience
  • 2+ years of administrative service experience
  • Proficient computer navigation skills using a variety of software applications including Microsoft Office
  • Ability to multi-task in a fast-paced environment and open to learning
  • Attention to Detail: ensure accuracy in all tasks, from data entry to team communications, ensuring high-quality work
  • Excels with organizational tasks, lists and prompt attention to tasks


Position Details:

  • On-site position. Our office is located in Eden Prairie, Minnesota
  • Schedule: Part-Time, Onsite, 20 hours per week
  • Classification: Non-Exempt
  • Pay range: $24.18- $25.89, depending on experience
