Job Title: Office Administrator – Sales Department [Female – Arabic & English Speaker]

Location: Dubai, UAE

Employment Type: Full-time

Position Overview:

The Office Administrator will play a key role in supporting the Sales Department by managing administrative processes, coordinating with clients, and ensuring smooth operations between sales, logistics, and accounts.

Key Responsibilities:

1. Administrative Support

· Prepare, process, and maintain quotations, purchase orders, contracts, and delivery documents.

· Keep accurate records of sales transactions and customer communications.

· Maintain proper filing systems for both physical and digital records.

2. Sales Coordination

· Support sales executives in following up with clients, confirming orders, and updating order status.

· Liaise with the warehouse and logistics team to ensure on-time deliveries.

· Coordinate schedules for client meetings, site visits, and product presentations.

3. Reporting & Data Management

· Update and maintain CRM or ERP systems with client and sales data.

· Generate sales performance reports and monthly summaries.

· Assist in preparing tender documents and product presentations.

Requirements:

· Bachelor’s degree or diploma in Business Administration or related field.

· Minimum 3-4 years’ experience as an Office Administrator, preferably in sales or distribution.

· Must be fluent in Arabic and English (written and spoken).

· Proficiency in MS Office (Word, Excel, Outlook, PowerPoint).

· Experience with ERP systems (Odoo, Zoho, or similar) is an advantage.

· Strong organizational skills, attention to detail, and ability to multitask.

· Familiarity with lubricants, oils, or automotive products is an advantage.

· UAE work experience preferred.

Working Hours: Monday to Saturday

Salary: Competitive – Based on experience and qualifications
