Office and Operations Administrator

We are seeking a proactive, highly organized Office & Operations Administrator to manage our daily corporate environment and anchor our administrative workflows.

Position Overview

This role serves as the central operational hub of our Dublin headquarters. Beyond standard clerical work, you will take ownership of office workflows, manage essential relationships, and oversee daily order administration.

This position offers a strong foundation within our company. For a high-performing professional, this role features a direct path toward a managerial position as our organization continues to grow.

Key Responsibilities

  • Order Administration & Workflow: Oversee the daily processing and validation of incoming customer orders, utilizing our proprietary in-house ERP system to ensure seamless tracking and timely fulfillment.
  • Customer & Client Relations: Act as the primary, professional voice of bioWORLD—handling corporate phone and email correspondence, addressing customer inquiries, and managing account details.
  • Database & Record Keeping: Maintain meticulous data integrity within our customer database, performing accurate data entry, tracking administrative accounting metrics, and organizing digital workflows.
  • Office Operations & Facility Management: Oversee the physical office environment, including inventory management of office supplies, designing robust filing systems, and coordinating with vendors, utility providers, and the landlord.
  • Team & Culture Support: Coordinate and assist in the planning and execution of company events, while ensuring a secure, welcoming, and productive workplace.

Qualifications & Requirements

Minimum Qualifications:

  • Proficient in the Microsoft Office Suite (advanced Word and Excel skills are highly valued).
  • Strong technical aptitude with the ability to quickly learn and navigate a proprietary, in-house ERP/database system.
  • Exceptional verbal and written communication skills with a polished, corporate demeanor.
  • Proven ability to prioritize shifting tasks, manage calendars, and maintain absolute attention to detail in a fast-paced environment.

Preferred Benchmarks for Higher Compensation ($20.00 – $25.00/hr):

  • Experience: 3+ years of dedicated experience in professional office management, executive administrative support, or corporate operations.
  • Education: An Associate’s or Bachelor’s degree in Business, Communications, or a related field.
