We are seeking a highly organized, proactive, and detail-oriented Purchasing and Office manager to join our interior design firm. This dual-role position is critical to the smooth operation of both the administrative and procurement functions of the studio. You will be responsible for managing office operations, supporting the design team, and overseeing the full lifecycle of purchasing - from sourcing and order placement to delivery and installation.
Key Responsibilities:
Purchasing & Procurement (60%)
- Manage procurement of furniture, fixtures, finishes (FF&E), and materials based on design specifications.
- Issue purchase orders and track orders from vendors to ensure on-time and accurate delivery.
- Coordinate with vendors and suppliers regarding product availability, lead times, pricing, and samples.
- Maintain procurement logs and ensure all purchases align with budgets and project timelines.
- Oversee delivery scheduling, inspection, storage, and white-glove installation logistics.
- Handle returns, damage claims, and warranty issues with suppliers.
- Liaise with the design team to stay updated on project needs and changes.
- Maintain organized digital and physical records of all purchasing documentation.Office Management & Administration (40%)
- Ensure the office environment runs efficiently—managing supplies, equipment, and maintenance needs.
- Organize and maintain digital and physical filing systems (project files, contracts, vendor info, etc.).
- Assist in onboarding new staff, managing office policies, and maintaining HR files as needed.
- Manage calendars, coordinate meetings, and provide administrative support to leadership and design teams.
- Handle communication with vendors, contractors, and service providers.
- Support billing and accounting by tracking invoices, expenses, and reconciling project costs in collaboration with the finance team.
- Assist with marketing tasks such as coordinating photoshoots or maintaining client presentation materials (if applicable).
Qualifications:
- Proven experience in purchasing/procurement, preferably in the interior design, architecture, or luxury goods industry.
- Strong administrative and organizational background; office management experience preferred.
- Proficient in procurement software, spreadsheets, and productivity tools (e.g., Studio Designer, QuickBooks, Asana, Microsoft Office, Google Workspace).
- Excellent communication and negotiation skills.
- Detail-oriented with the ability to multitask and manage competing priorities.
- Knowledge of design industry standards, vendors, and lead times is highly desirable.
- Bachelor's degree in Business Administration, Interior Design, or related field is a plus.

Pay: $62,400.00 - $65,520.00 per year
