ROLE OVERVIEW

828 Marketing Solutions is seeking a bilingual (English/Spanish) Office Assistant to support our executive team and help maintain an organized, high-performance operational system. This position plays a critical role in helping the company scale ensuring our CEO and Director of Strategy & Operations stay supported, clients receive exceptional communication, and internal teams stay aligned across all departments.

This is a fast-paced, detail-oriented role ideal for someone who loves structure, deadlines, and creating order within a dynamic, growing company.

KEY RESPONSIBILITIES

Administrative Support

  • Manage calendars, scheduling, reminders, and meeting confirmations for leadership
  • Prepare notes, summaries, and follow-up items after meetings
  • Organize digital files, forms, contracts, and internal documents
  • Maintain clean, updated systems across Trello, CRM, and shared drives

Client Coordination

  • Assist with onboarding new clients and collecting necessary documents/assets
  • Update client notes, progress logs, and deliverables inside the CRM
  • Coordinate communication between clients and the internal team
  • Follow up with clients for signatures, payments, missing items, or approval of deliverables

Operations & Organization

  • Track tasks and deadlines across branding, websites, ads, content, and industry reports
  • Maintain the internal operations pipeline in partnership with the Director of Strategy
  • Ensure project handoffs between departments are clear, timely, and organized
  • Support leadership with project tracking and reporting

Internal Team Support

  • Serve as a communication bridge between departments
  • Organize assets for designers, web developers, editors, and scriptwriters
  • Help with preparation and delivery of client materials
  • Assist in structuring and maintaining internal SOPs and checklists

General Office Duties

  • Organize and maintain physical and digital workspace
  • Prepare documents, reports, and basic office materials
  • Assist in day-to-day administrative tasks that support company operations

QUALIFICATIONS

  • 1–2 years of experience in an administrative, office, or coordinator role
  • Bilingual: English & Spanish (required)
  • Strong organization and time management skills
  • Excellent written and verbal communication
  • Detail-oriented, proactive, and reliable
  • Ability to multitask and manage shifting priorities
  • Experience with Trello, CRMs, or similar platforms (preferred)
  • Professional demeanor with ability to thrive in a fast-paced environment
