Office Assistant

<Overview>
Join our dynamic team as an Office Assistant and become the backbone of our daily operations! As an Office Assistant, you will be the friendly face at the front desk, manage administrative tasks with precision, and ensure our office runs smoothly and efficiently. Your positive attitude and organizational skills will help create a welcoming atmosphere for staff, clients, and visitors alike. This position is seasonal and will be needed from March through the end of September. There may be further opportunity dependent on performance.

<Responsibilities>

  • Greet visitors and clients professionally at the front desk, providing excellent customer service and maintaining a welcoming environment
  • Manage multi-line phone systems, directing calls accurately and courteously using proper phone etiquette
  • Handle data entry, filing, and document proofreading to ensure all records are accurate and up-to-date
  • Support office management tasks such as calendar management, appointment scheduling, and coordinating meetings
  • Utilize office software including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Drive), and QuickBooks for bookkeeping and financial record keeping
  • Assist with clerical duties such as photocopying, scanning, mailing, and organizing files to keep the office organized and efficient
  • Provide support with administrative projects, including proofreading documents and managing correspondence in both English and bilingual communication as needed

<Qualifications>

  • Proven experience in an office environment or administrative role with strong clerical skills
  • Proficiency in Microsoft Office Suite, Google Workspace, QuickBooks, and general computer literacy
  • Excellent organizational skills with the ability to prioritize tasks effectively
  • Strong communication skills with professional phone etiquette; bilingual abilities are a plus
  • Experience with data entry, filing systems, proofing documents, and calendar management
  • Customer service experience demonstrating patience, professionalism, and problem-solving skills
  • Personal assistant or medical/dental receptionist experience is advantageous but not required
  • Ability to multitask efficiently while maintaining attention to detail in a lively work setting

Job Type: Temporary

Pay: $16.00 - $18.00 per hour

Expected hours: 30 – 40 per week
