Office Assistant

Job Summary
We are seeking a dynamic and highly organized Office Assistant to join our team! Duties

  • Manage front desk responsibilities, greeting visitors and directing them appropriately with friendly professionalism
  • Operate multi-line phone systems, answer inquiries promptly, and route calls efficiently using proper phone etiquette
  • Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and QuickBooks accounting software
  • Handle clerical tasks such as filing, proofreading documents, and organizing office supplies to ensure a tidy workspace
  • Support calendar management and appointment scheduling for staff members and executives
  • Assist with bookkeeping duties including invoice processing and basic financial record keeping
  • Provide excellent customer service by supporting clients, vendors, and internal teams with timely responses and support
  • Maintain office organization through filing systems, inventory management, and document management procedures
  • Support office management activities to improve workflow efficiency and overall office operations

Experience

  • Prior office experience or administrative support experience is required; familiarity with office procedures is highly preferred
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace (Gmail, Calendar, Drive) is essential
  • Experience with QuickBooks or other bookkeeping software is a plus
  • Bilingual skills are highly desirable to assist diverse client needs effectively
  • Strong organizational skills with the ability to prioritize tasks and manage time efficiently in a fast-paced environment
  • Excellent communication skills with professional phone etiquette and customer service orientation
  • Clerical skills such as typing quickly and accurately, proofreading documents, and data entry are necessary
  • Knowledge of front desk operations, multi-line phone systems, medical or dental receptionist duties, or personal assistant experience will be advantageous
