Office Assistant

Duties

  • Manage front desk operations, speaking with technicians and clients with professionalism and warmth
  • Operate multi-line phone systems efficiently, directing calls and taking messages accurately
  • Handle data entry tasks using computer skills, including Microsoft Office and Google Workspace applications.
  • Maintain organized filing systems and ensure all documents are properly stored and easily accessible
  • Support office management tasks such as calendar management, scheduling appointments, and coordinating meetings
  • Assist with bookkeeping activities using QuickBooks or similar accounting software
  • Provide excellent customer support by addressing inquiries promptly and courteously
  • Conduct proofreading of documents to ensure accuracy and professionalism
  • Perform clerical duties including copying, scanning, faxing, and mailing
  • Assist on developing quotes and deliver to customers.

Requirements

  • Proven office experience with strong clerical skills and organizational abilities
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools
  • Experience with multi-line phone systems and phone etiquette standards
  • Bilingual skills are highly desirable to serve diverse client needs effectively
  • Familiarity with QuickBooks for bookkeeping tasks is a plus
  • Strong typing speed and accuracy for data entry tasks
  • Excellent organizational skills with the ability to prioritize tasks efficiently
  • Previous experience as a receptionist or personal assistant is advantageous
  • Knowledge of office management procedures and administrative best practices
  • Ability to handle confidential information discreetly and professionally
