We are seeking a dynamic and organized Office Assistant to join our team and help keep our daily operations running smoothly. Duties

  • Greet visitors, clients, and vendors with professionalism and a friendly demeanor at the front desk
  • Manage multi-line phone systems, screen calls, and direct inquiries efficiently using proper phone etiquette
  • Perform data entry tasks accurately using Microsoft Office, Google Workspace, and QuickBooks accounting software
  • Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents
  • Support office management activities such as calendar management, appointment scheduling, and meeting coordination
  • Assist with bookkeeping tasks including invoicing, expense tracking, and basic financial record keeping
  • Provide exceptional customer service by responding promptly to inquiries via phone or email and supporting client needs

Qualifications

  • Proven experience in an office environment with clerical or administrative responsibilities
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and QuickBooks
  • Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently
  • Bilingual abilities are highly desirable to assist diverse clients and team members
  • Previous experience as a receptionist or medical/dental receptionist is a plus
  • Demonstrated phone etiquette skills with experience handling multi-line phone systems and customer support calls
  • Attention to detail for proofreading documents and data entry accuracy
  • Personal assistant experience or office management background is advantageous
  • Strong typing skills combined with good organizational habits for filing, data entry, and calendar management
