Overview
We are seeking a detail-oriented and organized Office Assistant in our Mobile Home Community to join our dynamic team. This role is essential in maintaining smooth office operations, supporting administrative functions, and providing excellent customer service. The ideal candidate will possess strong computer literacy, excellent communication skills, and the ability to manage multiple tasks efficiently. Experience with office management software, clerical tasks, and a professional demeanor are highly valued. Bilingual abilities are a plus to assist diverse client needs.
Duties
- Manage front desk responsibilities including greeting visitors and answering multi-line phone systems with professionalism and courtesy
- Handle data entry, filing, and document proofreading to ensure accuracy and organization
- Utilize Microsoft Office Suite and Google Workspace for document creation, editing, and correspondence
- Schedule appointments, manage calendars, and coordinate meetings using calendar management tools
- Assist with bookkeeping tasks using QuickBooks or similar software as needed
- Provide customer support via phone, email, or in person while maintaining excellent phone etiquette
- Support office management activities such as supply inventory, mail distribution, and general administrative support
- Maintain a clean and organized work environment to promote efficiency and professionalism
- Perform clerical duties including typing reports, managing files, and supporting other administrative functions as required
Skills
- Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications
- Strong organizational skills with the ability to prioritize tasks effectively
- Excellent written and verbal communication skills; bilingual abilities are preferred
- Experience with front desk operations, multi-line phone systems, and customer service excellence
- Familiarity with office management software such as QuickBooks or bookkeeping tools is a plus
- Demonstrated clerical experience including data entry, filing, proofreading, and calendar management
- Strong computer literacy with the ability to adapt to new software quickly
- Time management skills to handle multiple responsibilities efficiently
- Professional phone etiquette and customer support skills for positive client interactions
- Previous experience as an office assistant or personal assistant is advantageous but not required
