Office Assistant

Job Summary
We are seeking a dynamic and highly organized Office Assistant to join our team! Responsibilities

  • Greet visitors and manage front desk operations with professionalism and warmth
  • Answer multi-line phone systems promptly and direct calls accurately using excellent phone etiquette
  • Perform data entry, filing, and document proofreading to maintain organized records
  • Utilize computer skills including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace to prepare documents and reports
  • Support bookkeeping activities in Quickbooks, Netsuite or similar accounting software when needed
  • Provide exceptional customer service by assisting clients and responding to inquiries efficiently
  • Maintain a clean, organized front desk area and ensure all office equipment is functioning properly

Skills

  • Proven office management experience with strong organizational skills and attention to detail
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Familiarity with multi-line phone systems and excellent phone etiquette skills
  • Strong clerical experience including AP and AR data entry, contract management and document management
  • Knowledge of QuickBooks or Netsuite bookkeeping software is a plus for handling financial tasks
  • Excellent time management skills with the ability to prioritize tasks efficiently
  • Computer literacy across various platforms with quick adaptability to new tools or software
  • Previous experience as a receptionist or office admin is advantageous
  • Ability to handle customer support scenarios professionally and courteously - This is a customer facing role!
