OFFICE ASSISTANT – BILINGUAL PREFERRED (English/Spanish)
needed to provide support for Office Manager at a polyurethane manufacturing company with ~30 employees. This position will provide vital support to the Office Manager and other departments as needed. The ideal candidate will be punctual, detail oriented, use excellent communication skills, and have previous experience working in an office environment and performing administrative tasks.
Job Duties
Handle incoming calls using a 4-line phone system
Handle incoming visitors and direct to the appropriate office personnel accordingly
Assist in planning/scheduling meetings and appointments
Prepare incoming/outgoing shipments via LTL, UPS, FedEx, etc.
Prepare vendor purchase orders and track for timely delivery
Monitor office supply inventory and order as necessary
Track 35+ employee’s attendance daily
Assist with HR tasks including distributing incoming applications/resumes, tracking applicants, and scheduling
interviews
Prepare/maintain reports in Excel
Maintain organized filing system
Support Office Manager with daily tasks as assigned
Requirements
Bilingual (Spanish/English) - Preferred
3+ years administrative experience
Highly proficient in Microsoft Word, Excel, and Outlook
Ability to follow company procedures accurately and efficiently
Ability to multi-task and prioritize
Excellent Attendance
High School diploma or equivalent
Pre-employment drug and background screening
