We are seeking a dynamic and highly organized bilngual Office Assistant to join our team and help keep our daily operations running smoothly. Duties

  • Greet visitors and manage the front desk with professionalism and warmth, ensuring a positive first impression
  • Operate multi-line phone systems, answer inquiries, direct calls, and handle messages efficiently
  • Perform data entry and maintain accurate records using Microsoft Office and Google Workspace tools
  • Manage appointment scheduling and calendar coordination for staff or clients
  • Handle filing, document proofreading, and organize office supplies to ensure smooth workflow
  • Support office management activities by coordinating meetings, preparing reports, and overseeing general administrative tasks

Skills

  • Proven experience in office administration or clerical roles with strong organizational skills
  • Proficiency in Microsoft Office Suite (Wordperfect, Word, Excel, PowerPoint) and Google Workspace applications
  • Excellent phone etiquette and experience managing multi-line phone systems
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Strong typing skills coupled with attention to detail for proofreading and data entry accuracy
  • Exceptional customer service skills with a friendly demeanor and professional attitude
  • Ability to multitask efficiently while managing time effectively in a busy environment
  • Experience as a legal assistant or law office receptionist or personal assistant is a plus but not required
  • Knowledge of office management best practices including filing systems, calendar management, and office supply organization
