Responsibilities
- Greet visitors and clients professionally at the front desk, providing exceptional customer service and support.
- Manage multi-line phone systems, directing calls accurately and courteously while taking detailed messages when necessary.
- Perform data entry, filing, and document proofreading to ensure records are accurate and up-to-date.
- Use Microsoft Office and Google Workspace tools to prepare reports, correspondence, and presentations efficiently.
- Assist with calendar management, scheduling appointments, meetings, and coordinating events as needed.
- Support office management tasks such as supply inventory, ordering office essentials, and maintaining a clean workspace.
- Handle clerical duties including photocopying, faxing, mailing, and organizing files with attention to detail.
- Provide administrative support for various departments by managing correspondence, preparing documents, and supporting project coordination.
- Demonstrate excellent phone etiquette and customer support skills to foster positive interactions with clients and team members.
Qualifications
- Proven experience in an office environment or clerical role demonstrating strong organizational skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
- Excellent computer literacy with the ability to learn new software quickly.
- Strong typing skills with high accuracy; familiarity with data entry tasks is preferred.
- Exceptional organizational skills with keen attention to detail for proofreading and filing tasks.
- Experience handling multi-line phone systems and providing outstanding customer service.
- Bilingual abilities are a plus for effective communication with diverse clients or team members.
- Previous experience in front desk operations or as a receptionist is highly desirable.
- Knowledge of office management procedures including calendar management, bookkeeping, or personal assistant duties is advantageous.
