Job Summary
We are seeking a dynamic and organized Office Assistant to join our team and support daily administrative operations. Primary responsibilities include exemplary customer service, answering phone calls, greeting visitors/clients, performing administrative and executive team support duties, and contributing to client satisfaction and efficient corporate operations. This role requires being a team player and jumping in/willing to help on various projects as needed and/or assigned.
Responsibilities
1. Arrive to work on time prepared to be productive, knowledgeable, engaging, and helpful.
2. Provide excellent customer service always. Make it a priority to be courteous, friendly, helpful, and prompt to our visitors, guests, clients, and teammates.
3. Greet guests, provide clients with exemplary concierge level services and direct to appropriate team member.
4. Answer, analyze, and route phone calls to appropriate team member efficiently and accurately.
5. Deliver polite, professional, and informative communications on behalf of company via phone calls, in person, by email, and through regular mail as assigned.
6. Support sales assistant with activating quotes, prepare quotes for potential customers through ACCPAC.
7. Carry out broad range of administrative support duties (ex: filing, typing, copying, binding, scanning).
8. Tracking, expediting orders and providing shipment ETA updates when necessary.
9. Participate in all required MSHA safety training.
10. Maintain customer confidence and protect operations by keeping information confidential.
11. Keep a safe, clean and welcoming work area.
12. Work safe always. Follow all required safety training and prevention guidelines including incident reporting procedures.
13. All other duties as assigned
Position Requirements:
1. Ability to provide exemplary and professional customer service both internally with teammates and coworkers and externally with clients, customers, vendors, etc.
2. Ability to effectively prioritize and execute tasks in a high-pressure environment
3. Proven analytical and problem-solving skills to forecast and/or resolve concerns as well as maintain consistent productivity within department
4. Understanding of business practices
5. Attention to detail / accuracy / problem solving skills
