Job Overview
We are seeking a detail-oriented and organized Office Assistant to join our team. The ideal candidate will provide essential administrative support, ensuring the smooth operation of our office. This role involves managing various clerical tasks, assisting with customer support, and maintaining accurate records. The Office Assistant will play a crucial role in enhancing productivity and efficiency within the organization.

We are seeking applicants who are currently based in Montgomery County or Howard County, Maryland. No remote positions are available at this time

Key Responsibilities:

  • Perform general clerical duties including filing, scanning, and data entry.
  • Manage calendars, schedule appointments, and coordinate meetings.
  • Answer and direct phone calls, emails, and in-person inquiries, providing exceptional customer support.
  • Operate phone systems efficiently, demonstrating excellent phone etiquette.
  • Maintain accurate records and assist with bookkeeping tasks using QuickBooks.
  • Support the sales team with administrative tasks, including lead tracking and follow-ups.
  • Organize and maintain filing systems and office supplies.
  • Prepare and edit documents, reports, and presentations as needed.
  • Handle customer inquiries, addressing them promptly and resolving issues effectively.
  • Perform additional administrative tasks as assigned to enhance productivity.

Requirements:

  • Proven experience as an office clerk or in a similar administrative role.
  • Strong computer skills with proficiency in Microsoft Office Suite.
  • Excellent organizational skills and attention to detail.
  • Ability to manage multiple tasks effectively while maintaining a high level of accuracy.
  • Strong verbal and written communication skills.
  • Familiarity with calendar management and clerical procedures is preferred.
  • Previous experience in customer support is a plus.
  • Basic knowledge of Spanish is a plus.
  • Experience in sales or customer service is an additional advantage.
