Overview
We are a small property Management group, seeking a dynamic and organized Office Assistant to join our team and support our daily operations. This role is vital in ensuring the smooth functioning of the office environment, managing administrative tasks with efficiency and professionalism. The ideal candidate will bring a positive attitude, strong organizational skills, and a proactive approach to handling diverse responsibilities in a fast-paced setting.
Responsibilities
- answer inquiries, direct calls appropriately, and take detailed messages as needed.
- Handle data entry, filing, and document proofreading to maintain accurate records and ensure document quality.
- Assist with calendar management, scheduling appointments, and coordinating meetings for staff members.
- Support office management tasks such as supply inventory, ordering office supplies, and maintaining organized workspaces.
- Utilize computer skills including Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace to create reports, presentations, and correspondence.
- Perform clerical duties such as photocopying, scanning documents, and maintaining filing systems to ensure easy access to information.
Skills
- Proven experience with office management and administrative support roles.
- Strong computer literacy with proficiency in Microsoft Office applications and Google Workspace tools.
- Excellent organizational skills with the ability to prioritize tasks effectively.
- Bilingual abilities are highly desirable to assist diverse clients and team members.
- Knowledge of QuickBooks or bookkeeping experience is a plus for handling basic financial tasks.
- Exceptional phone etiquette and customer service skills to create a welcoming environment for visitors and callers.
- Ability to perform data entry accurately with high attention to detail; typing speed is advantageous.
- Familiarity with filing procedures, and general clerical practices.
Pay: $21.00 - $25.00 per hour
