Duties

  • Greet visitors and clients at the front desk with professionalism and warmth, ensuring a positive first impression
  • Manage multi-line phone systems, screen calls, and direct inquiries efficiently
  • Perform data entry and maintain accurate filing systems both physically and digitally using tools like Google Workspace and Microsoft Office
  • Handle scheduling tasks including calendar management and appointment setting for staff members
  • Support office management activities such as supply ordering, inventory tracking, and maintaining cleanliness and organization of common areas
  • Proofread documents, correspondence, and reports to ensure accuracy and professionalism
  • Provide customer support by addressing inquiries promptly and courteously, whether via phone or email

Skills

  • Proven experience in office administration or clerical roles with strong organizational skills
  • Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
  • Excellent phone etiquette with experience managing multi-line phone systems
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Strong typing skills with attention to detail for data entry and proofreading tasks
  • Ability to prioritize tasks efficiently through effective time management skills
  • Personal assistant experience or office management background preferred for handling varied administrative responsibilities
